About This Opportunity


As a Distribution Center Administrator, you will report into the Manager, Distribution Center and be based out of Sudbury.  


In this role you will be:

  • Performing routine clerical duties in a Distribution Center in accordance with standard administrative office procedures.  
  • Sales Support: Phone/Reception, enter call in orders, process donation requests, administrative duties, order POS and do all required tracking, EBP Ordering in the procurement system, process pricing exception requests, sales meeting notes and handouts, create and maintain Track/Rank/Publish boards as required 
  • Accounts Payable: Process AP invoices, prepare check requests, research payments, prepare transmittal logs, process and reconcile P-card statements, review expense distribution log. AP invoice processing
  • Accounts Receivable/Credit: customer accounts receivable research, sales center charge back, customer mail check requests and validation, drafting credit memos and invoice corrections
  • Payroll: process and transmit weekly payroll within time deadlines and audit requirements including proper approvals, process payroll adjustments, uniform deductions, maintain and update LCC codes/hours transfers in the timekeeping system, ensure that all approvals are obtained to process payroll, monitor Kronos (timekeeping) and payroll activities, remote punch audit tracking to ensure compliance with audit frequency, trimester incentive verification as requested for route assignments
  • OCM Tracking/Checkbook: Process P-card, new card user requests, process T&E Requests, prepare IFTA reporting, audit Comdata Fuel Report, prepare accounts payable timing accruals, reconcile pager and phone bill and provide reporting on usage
  • Distribution: Driver call in log, maintenance of DVRs/DOT, special event orders for service and schedule, employee sales and safety committee notes as assigned
  • Human Resources: New employee orientation and onboarding, collect, review and scan new hire paperwork, serves as local Chain of Custody Coordinator for CCR Drug Test Program, print and post open requisition reports and job opportunity listings
  • Security: security door maintenance and programming, maintain surveillance back up takes and visitor log and badges, assign access cards
  • Information Technology: phone system and voicemail maintenance, maintain/request office equipment
  • Miscellaneous Administrative Duties: coordinate employee/facility events including catering and meeting room set up, handle mail/shipping, update phone director, ensure compliance to company audit guidelines, manage flow of information throughout the day (faxing, telephone, copying), schedule conference rooms, support inventory process as assigned, provide administrative support to Distribution Center Manager/Supervisor or Sales Managers/Supervisors as assigned.


What you will need to succeed in this role:

  • 2+ years of business administrative related experience is required;
  • Post-Secondary Education in Business Administration or similar area would be considered an asset;
  • SAP experience would be considered an asset;
  • Experience supporting Senior Management and Leadership team would be beneficial.
  • Outgoing and positive attitude;
  • Ability to clearly communicate;
  • Intermediate computer skills. Proficient in Excel with experience both creating and using pivot tables;
  • Customer service focused;
  • Ambitious and looking to grow with a company; and
  • Able to work in a fast paced and demanding work environment
